  1. CALL TO ORDER: 9:00 AM, Lithia Room, 51 Winburn Way
 
  1. DISCUSSION
Andy reviewed call with Jennifer Andrews: Andy suggests a conference call after contract signed and before design work starts. Fotini would call Jennifer and give her access to MAP folder.


Reviewed and revised folder content for Masterworks. Dale would re-take photos of sidewalk locations and get them to Fotini to upload. Folders will include Historic photos, short & long version of narratives for consideration, suggested design schematic with photos prioritized, Photos of exact locations, architectural drawing of sidewalk placements, and a Google map of the Railroad District.


Need to ask Jennifer during conference call about how plaques are installed into concrete. Curious what timeline might be like for installation. Dale would like all 5 plaques to be of the same shape … prefers round.
Andy requests that Fotini send RFP final version going to Jennifer out to all MAP team a couple of days prior for review.


Discussed possible URL names. Peter did research on available URLs. Would City of Ashland register the domain, or would it be MAP’s responsibility? ashlandhistoric.org (.net, .com also available) was team’s first choice.


Discussed the notice letter, which will need to come from the city (Bill Molnar will have final say). The notice needs to include information on how the public may respond with questions. Talked about coordinating a newspaper release with the notice … notices should be mailed to property owners PRIOR to press release.
Do we want to have a ribbon cutting/ opening ceremony?
No point in sending out the notice until we have a rough idea of installation dates.



Fotini will share final contract with MAP team prior to signing.

Next Meeting: TBD after Masterworks has returned a proposal for our 20 day review/ acceptance
