Call to order and election of Chair
Slattery called the meeting to order and advised the group that Everson will attend meetings after the budget meetings have concluded in mid-May. Hopkins-Powell is able to attend the third Thursdays of the month and will be at the April 28 meeting.
Parker was elected chair of the committee and Rohde will serve as vice-chair.
Subcommittee Report
Saldana, Parker and Slattery presented the draft announcement. The attached represents the final draft after discussion and committee input.
Timeframe and Process
It was suggested the proposals be sent to committee members for review prior to meeting as a group.
Ayars proposed the following timeframe and process for review:
June 1 Submittal deadline. Proposals will be sent to committee members as staff receive them. Committee members will review each proposal using a pre-approved score sheet.
June 9 or 16 Meeting to compare notes on individual review and to identify submitters the committee may want to invite to the next meeting
July 15 Meet with identified submitters for clarification
August 15 Review proposals and identify appropriate action
September Report to City Council
This same timeframe and process could occur two more times prior to April 2012 e.g., September October November and again December January February.
Get the word out
The group discussed how they would let the community know of their work and invite stakeholder groups to submit proposals. It was suggested that committee members designate themselves as liaisons to the various groups and developed the following list:
Lewis Service Clubs, Business Community, Faith Community
Ayars Homeless community, Uncle Foods Diner and e-newsletter from Peace House
Parker Ashland School District
O’Bryon Southern Oregon University
Saldana Jackson County Homeless Taskforce
Seltzer will post the information on the City’s website and draft a press release.
